Real Estate Transaction Coordinator

Job Opportunity

The Real Estate Transaction Coordinator oversees all aspects of a property sale or purchase from the moment a contract is signed until the deal closes. They serve as the central point of communication among agents, clients, lenders, title companies, and other parties, ensuring that deadlines are met, paperwork is complete, and transactions progress smoothly. A successful Transaction Coordinator is highly organized, detail‐oriented, and skilled at keeping multiple tasks on track in a fast‐paced environment.

Job & Workplace Responsibilities

Transaction Management:

  • Monitor and track contract timelines, contingencies, inspections, and closing dates.
  • Organize and maintain all transaction documents in accordance with compliance requirements.
  • Coordinate escrow, title, and financing processes to ensure timely closings.

Communication & Coordination:

  • Serve as the primary liaison between buyers, sellers, real estate agents, lenders, title companies, inspectors, and other relevant parties.
  • Provide regular status updates to all stakeholders and promptly address inquiries or issues that arise.
  • Schedule and confirm appointments for inspections, appraisals, and closings.
Documentation & Compliance:
  • Prepare and review all transaction documents (purchase agreements, disclosures, amendments, etc.) for completeness and accuracy.
  • Ensure all documentation adheres to legal standards and brokerage policies.
  • Maintain secure, organized records of all relevant files and communication.

Problem‐Solving & Support:

  • Identify potential issues or delays early and propose effective solutions to keep transactions on schedule.
  • Support agents with administrative tasks, including data entry into customer relationship management (CRM) systems.
  • Collaborate with the brokerage’s compliance officer to resolve any contract or legal questions.

Closing Coordination:

  • Confirm all final figures, closing costs, and wire instructions.
  • Coordinate final walkthroughs, prepare closing documents, and confirm settlement statements with title and escrow.
  • Follow up post‐closing to ensure the transaction file is fully complete and archived.

Compensation & Commitments

  • Salary/Hourly plus possible bonus structures tied to transaction volume or successful closings.
  • Benefits may include paid time off, and professional development assistance.

Qualification Requirements

  • Real estate experience
  • An associates degree or higher is encouraged, but not required
